💡 What's New (Updated March 2026) 

The Attendance module now automatically syncs with your workspace bookings to provide a seamless flex office experience: -

  •  Auto-update to "On site": When you book a Workstation or Shared Space, your attendance status automatically updates to "On site" for the corresponding time slot (full day, morning, or afternoon) unless you have already set another status manually (e.g., sick, remote). In that case, the booking is created, but your manually set status is kept. 
  • Smart cancellation: When you cancel your workspace booking, your attendance status automatically reverts to "Undeclared" if no other qualifying reservations remain and if your status was not manually set to another value (e.g., sick, remote). In that case, the cancellation goes through, but your manually set status is kept. 
  • Clear notifications: Booking and cancellation screens now display informative messages about how your actions will affect your attendance status. 

This integration eliminates double data entry and keeps your attendance and workspace bookings perfectly synchronized.

This functionality allows you not only to report your status but also to see the status of your colleagues in real time, making it easier to coordinate within your team. In addition to these features, application managers can access detailed statistics on occupant attendance status, providing a clear view of workspace usage.

This comprehensive guide takes you step-by-step through using and customising the Attendance module to meet your business needs.

Declare your presence status

To start using the Attendance module and declare your status, follow these detailed steps:

  1. Access the module: Log in to your Witco account via the mobile app or website, then navigate to the Attendance module from the dashboard.
  2. Select your status: You will see a list of pre-defined statuses such as Present in the office, Working remotely, Absent and other options your company may have configured. Select the status that matches your current situation.
  3. Confirm: After selecting your status, confirm your choice by clicking the appropriate button. Your status will immediately be updated in the system and will be visible to your colleagues.
  4. Regular updates: Remember to update your status daily or weekly, depending on your company’s requirements, to maintain clear communication within your team.

Customize presence statuses

One of the strengths of the Attendance module is its flexibility in customization. Here’s how you can tailor the available statuses to your specific needs:

  • Rearrange statuses: If some statuses are used more often than others, you can change their display order for quicker access.
  • Add new statuses: If the default statuses are not sufficient, you can create new statuses that better reflect the different situations in your company, such as specific statuses for external meetings or site visits.

General configuration of the Attendance module

Depending on your company’s organization and space management, the Attendance module can be configured to meet different operational requirements:

  • Setting working : Select the days that are considered working days in your company, so that employees can only declare their presence on these days.
  • Time period settings: Configure a specific time period during which presence statuses can be declared. This helps to limit reporting outside of normal working hours.
  • Automatic weekly reminders: Enable reminders to prompt employees to update their status each week. These reminders can be configured to suit the specific needs of your team.
  • Capacity management: Limit the number of people who can be on site at any given time based on the maximum capacity allowed per floor or area, ensuring compliance with security policies.

Define presence policies

For even more precise management, you can define presence policies tailored to different groups of employees:

  • Application by occupant group: Create specific rules for departments or specific groups to ensure that each team adheres to the attendance policy assigned to them.
  • Fixed days and minimum attendance days: Specify fixed days when attendance is required for specific groups of employees, or set a minimum number of attendance days per week or month.
  • User-specific settings: Customise presence rules to meet the specific needs of particular users or groups, providing a more personalised experience.

View and analyze attendance statistics


As well as managing attendance, the Attendance module allows managers to view detailed statistics on the attendance status of occupants. From the Attendance → Statistics sub-menu, you can view:

  • The total number of people in the office
  • The average number of people in the office per day
  • The average number of days in the office per person
  • Occupancy rate of the building
  • Occupancy rate per weekday

Interactive charts are available to display these statistics, providing a clear and detailed overview. Managers can refine these graphs using filters to:

  • Filter data by status
  • Filter by department
  • View data as absolute values or percentages

Managers can also select the period for which they wish to view the statistics, be it a day, a week, a month, a year or a custom period defined by two specific dates. It is also possible to export attendance status data to an Excel file (.xlsx) by selecting the start and end dates of the data to be exported.

How Attendance Links with Workspace Bookings

If your building has enabled the Attendance and Reservation integration, your attendance status automatically synchronizes with your workspace bookings:

Automatic "On Site" Updates

When you book a Workstation or Shared Space for yourself:

  • Full-day booking â†’ Attendance status updates to "On site" (full day)
  • Morning booking â†’ Attendance status updates to "On site" (morning)
  • Afternoon booking â†’ Attendance status updates to "On site" (afternoon)

Requirements for automatic updates:

  • The resource must be a free Workstation or Shared Space
  • Your current attendance status must be "Undeclared" (and not another status set manually, such as sick or remote)
  • The Attendance module must be enabled on your building
  • You must be eligible to declare "On site" (not restricted by remote work policies)

Important notes:

  • Custom time slot bookings (e.g., 10am-12pm) do not trigger attendance updates
  • When you book both morning and afternoon slots, your attendance displays as "On site" (full day)

Automatic Status Removal on Cancellation

When you cancel a workspace booking:

  • If no other qualifying bookings exist on that time slot
  • And your attendance status is "On site" and wasn't manually changed to another status (e.g., sick, remote)
  • Then your status automatically reverts to "Undeclared"

Cancellation scenarios:
