Booking Moderation – Room Approval Flow

🎯 Objective

Allow a manager approval process for meeting room bookings, whether initiated from Outlook or Witco.

🔧 Activation

  • Setup must be done both on Outlook (client side) and on Witco.
  • Moderation applies across both platforms (Outlook + Witco).

📌 General Flow

  1. A booking request (from Outlook or Witco) enters “Pending Approval” status.
  2. Manager can approve or reject the booking from either platform.
  3. Status is synced bi-directionally (approved/rejected).
  4. Notifications:
    • Outlook → sends validation emails.
    • Witco → sends push notifications to the requester when status changes.

🔍 Key Rules & Specific Cases

CaseBehavior
Reservation created in Witco- Appears in the Outlook calendar. - Outlook sends a validation email to the manager. - Approval possible from Witco or Outlook. - Once approved → the status is synchronized in both Outlook and Witco.
Reservation created in Outlook- Appears in Witco with the status “Pending approval.” - Approval possible from Witco or Outlook. - Once approved → the status is synchronized in both Outlook and Witco.
Recurring reservations- Displayed in both Witco and Outlook. - Creation and validation are only possible from Outlook and blocked in Witco.
Notifications- No validation email is sent by Witco; only Outlook sends the email to the manager. - Witco sends push notifications if the reservation is updated (approved/rejected).
Reservation modified after approval- Any modification (even the title) resets the status → back to “Pending approval.”
Reservation made by a manager- In Witco: automatically approved, even if not by the responsible manager (existing Witco logic preserved). - In Outlook: requires approval by the responsible manager.
Other- The manager can reject and suggest another room from Witco only for single (non-recurring) reservations. - “Manager”-type resources can only be configured as meeting rooms in Witco (not as auditoriums or other types).
Double bookings- Outlook does not allow more than one reservation for the same time slot (even if pending approval). - Witco allows overlapping requests, but Outlook may reject them.
